Privacy policy
What we collect when you contact SFB Heating and Cooling, why we hold it, how long for, and what you can ask us to do with it.
Who we are
SFB Heating and Cooling is a domestic heating, plumbing and air conditioning business owned by Sam Ibbs, operating from 3 Mansfield Road, Basingstoke, Hampshire RG22 6DU.

What information we collect
When you submit the quote form, call, or email, we collect the details you give us: your name, telephone number, email address, the property address the work relates to, and a description of the work required.
Where we carry out work we also keep records required for the job itself — appliance details, gas safety and installation certificates, air conditioning commissioning records, quotations and invoices.
We do not collect special category data, and we do not ask for card details through this website.
How we use it
To respond to your enquiry, arrange a survey, prepare and issue a quotation, carry out and certify the work, invoice you, and handle any warranty or guarantee claim afterwards.
To meet legal duties: notifying and certifying gas work, issuing landlord gas safety records, keeping F-Gas records for refrigerant work, and retaining accounting records.
We do not sell your information, and we do not add you to marketing lists you did not ask for.
Legal basis
Where you have asked us to quote or carry out work, the lawful basis is performance of a contract or steps taken at your request before entering one.
Where we keep certificates, notifications and accounting records, the lawful basis is compliance with a legal obligation.
Where we keep a record of an enquiry that did not become a job, the lawful basis is our legitimate interest in running and evidencing the business.
Who we share it with
Only where it is necessary to do the job or meet a legal duty. That can include Gas Safe Register and manufacturer warranty registration for a new appliance, our accountant, our insurer, and suppliers where a part has to be ordered to your address.
Where a website form provider or email provider processes a message on our behalf, they act as a processor and may not use your information for their own purposes.
How long we keep it
Enquiries that do not become jobs are kept for up to 12 months.
Job records, certificates and invoices are kept for at least six years to meet accounting, insurance and warranty obligations, and longer where an appliance warranty of up to 10 years is still live.
Your rights
Under UK GDPR you can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, object to or restrict how we use it, and ask for it in a portable format.

If you are not satisfied with our response you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and website analytics
This website does not use advertising or tracking cookies. Where a Google Maps panel is embedded on the contact page, Google may set cookies from its own domain when the map loads — this is governed by Google's own privacy policy.
Any messages you submit through the quote form are transmitted to us and are not used for profiling or advertising.
Security
Information is held on password-protected devices and accounts. Paper records generated on site — certificates, job sheets — are kept securely and disposed of confidentially once retention periods expire.
